How to build a social media content calendar for SMEs

The most common problem we see on social media isn't content quality; it's inconsistency. A business posts every day for a week, then goes silent for three. Both algorithms and followers reward consistency. The solution is simple: a content calendar. With the steps below, you can plan your first month in a single afternoon.

1. Choose your goal and channel

You don't have to be on every channel. If you're a local business, Instagram and your Google Business Profile may be the priority; if you work B2B, LinkedIn; if you want to reach a young audience, TikTok. Managing one or two channels well is better than managing five half-heartedly.

2. Define three to five content pillars

Content pillars are the core topics you'll keep coming back to. For example, for a dental clinic:

3. Pick a realistic frequency

Choose a pace you can sustain rather than one you can't. For most SMEs, 3 posts and 1–2 Reels/short videos a week is a good start. Stories can be shared more often and with less effort.

4. Plan the whole month at once

A simple spreadsheet is enough: date, channel, pillar, topic, format (image, carousel, Reels), copy, status (idea, ready, published). At the start of the month, mark special days, campaigns and the season, then spread the remaining days across your pillars.

Practical tip: You can use AI at the ideas stage. For example, describe your business, audience and pillars to Claude and ask for "8 content ideas from each pillar for this month", then pick the ones that suit you. Always adapt the final copy to your own voice.

5. Produce in batches, publish on a schedule

Wondering "what should we post today?" every day is the biggest time sink. Set aside one day a week to prepare all the visuals and copy, then schedule posts in advance with tools like Meta Business Suite.

6. Measure at the end of the month

Look beyond the number of likes: reach, saves and shares, profile visits, website clicks and incoming messages. Do more of your top 3 performing posts in next month's plan, and cut back on the types of your weakest 3.
